MEETING CALLED TO ORDER
The meeting was called to order on April 13, 2015 at 7:00 PM at Countryside Fire Station #1, 801 S. Midlothian Road, Mundelein, Illinois 60060 by President, Susan Frank.
MINUTES FOR APPROVAL
James Melledy moved and Tabatha Curtis seconded that the minutes from the Regular Monthly Board of Directors Meeting of February 2, 2015 be approved as corrected. Unanimously approved by Directors: Tabatha Curtis, Susan Frank, James Melledy, Gina Rundall and Nicki Sullivan.
ANNUAL MEETING RE-CAP
The 2015 Annual WSPC Members’ Meeting was reviewed. Items discussed:
- Provide a microphone for future annual meetings.
- President to keep detailed notes to compose/provide a yearly end of the year Presidents’ report.
- Nominees for open, elected positions will introduce themselves prior to voting.
- Adding audio-visual aids to reduce paper use and associated printing costs.
CORRESPONDENCE
A homeowner on Taylor Lake Court has contacted the WSPC regarding the current Taylor Lake Court land-use agreement. The lease will be reviewed, revised and reissued as necessary.
TREASURER’S REPORT
Fred Aichele presented the Treasurer’s Report for 03/01/2015 – 3/31/2015. This report closes the fiscal year. James Melledy moved and Gina Rundall seconded that the Treasurer’s Report be approved as submitted. Unanimously approved by Directors: Tabatha Curtis, Susan Frank, James Melledy, Gina Rundall and Nicki Sullivan. A copy is available for download.
The Annual Dues Payment Notice has been issued to homeowners.
Fred Aichele presented the application for approval to renew the insurance policy to cover the Directors and Officers.
Fred Aichele presented the Analysis for the Fiscal Year 04/01/2014 – 03/31/2015. The analysis reconciles actual revenue versus expected revenue.
UPDATE ON FOREST LANE
James Melledy reported:
- Association is waiting on the official updated reports from the engineers and construction company regarding the progress of the repairs adjacent to the creek on Forest Lane.
- A pre-cast concrete culvert has been placed under West Shore Drive and “new” Forest Lane to contain the creek.
- A time-line detailing the remaining work to complete the work needed to West Shore Drive and Forest Lane has been requested from the construction company.
- Finishing work, including landscaping, is to be completed on the properties adjacent to the repair site and in Miller Park.
STATUS OF FIDELITY BOND
The policy has been received by the WSP Board.
BLOCK II BEACH REHAB
James Melledy and Gina Rundall reported that they have received two bids for seawall repairs. They are currently waiting for the third bid to be submitted. Bids for the retaining wall repairs have also been requested. One bid has been received with two more to follow.
LAKE COUNTY APPLICATION FOR WATER TANK GRANT
James Melledy reported that he and Dan Prezell (26729 Oakdale Lane) attended the March 13, 2015 mandatory meeting as part of the application process for the grant. A fiscal audit and official audit report of WSPC finances is part of the application process.
Gina Rundall moved to authorize the expense for an audit for the fiscal year ending 3/31/2015, not to exceed the amount of $6,000. The motion was seconded by Tabatha Curtis. Unanimously approved by Directors: Tabatha Curtis, Susan Frank, James Melledy, Gina Rundall and Nicki Sullivan.
BOARD COMMUNICATION
There was a discussion regarding the email communication process between board members and officers.
NEW BUSINESS
Susan Frank reported that the swimming license has been received from the Lake County Health Department and Community Health Center for the block 1 beach.
In an effort to reduce printing expenses and in respect for the environment, paper copies of agendas and board meeting minutes will no longer be distributed at the regular monthly board meetings. Board members, offices and guests are requested to refer to the electronic copies or to download and print their own copies prior to the meeting.
Fred Aichele reported that patching and repairs are needed due to water main breaks to Prospect Drive and Forest Lane.
Nicki Sullivan requested that the possibility of lowering the speed limit throughout WSP be investigated. Mrs. Sullivan will contact Fremont Township Highway Commissioner, Bill Grinnell regarding this concern.
Nicki Sullivan reported that she has contacted Fremont Township Highway Commissioner, Bill Grinnell to address drainage problems at Grove and Oakdale Lane.
ADJOURN
James Melledy moved that the meeting be adjourned. The motion was seconded by Nicole Sullivan and unanimously approved. The meeting was adjourned at 8:49pm.
